Padel Roaming Terms & Conditions

These Booking Terms & Conditions apply to all bookings made with
Padel Roaming Ltd ("Padel Roaming", "we", "us", "our")
for padel holidays, retreats, events, trips, coaching experiences, and related travel services.

By making a booking with Padel Roaming you agree to these Terms & Conditions.

1. Booking Your Trip

A booking is confirmed when:

  1. You complete the booking process via our website or authorised channel; and
  2. The required deposit or full payment is received; and
  3. We issue a booking confirmation.

The person making the booking (the "Organiser") confirms that they:

  • are authorised to accept these Terms on behalf of all participants in the booking;
  • are at least 18 years old; and
  • ensure all participants are aware of these Terms & Conditions.

All bookings are subject to availability.

2. Deposit & Payment

Unless otherwise stated:

  • A non-refundable deposit is required to secure your place.
  • The remaining balance must be paid no later than 98 days before the trip start date.

Typical payment structure:

Payment Amount
Deposit £250 per person (or stated amount)
Balance Due 98 days before departure

If the balance is not paid by the due date:

  • we reserve the right to cancel the booking; and
  • the deposit may be forfeited.

For bookings made within the balance due period, full payment may be required immediately.

3. What Your Package Includes

Each trip page outlines exactly what is included.

Typical inclusions may include:

  • accommodation;
  • organised padel sessions or coaching;
  • group match play or tournaments;
  • social activities; and
  • hosted events.

Unless clearly stated, the following are not included:

  • flights;
  • travel insurance;
  • airport transfers;
  • equipment hire;
  • meals not listed; and
  • personal spending.

4. Minimum Group Numbers

Some trips require a minimum number of participants.

If this minimum is not reached, Padel Roaming may:

  • offer an alternative trip or date; or
  • cancel the trip and provide a full refund of payments made.

5. Changes by You

If you wish to change your booking:

  • requests must be made in writing;
  • changes are subject to availability; and
  • an administration fee may apply.

Examples of changes include:

  • changing participants;
  • changing accommodation type; and
  • transferring to another trip.

6. Cancellations by You

If you cancel your booking, the following cancellation charges may apply:

60-98 days 50% of total price
30-59 days 75% of total price
Less than 30 days 100% of total price

Refunds are calculated based on the date written cancellation is received.

We strongly recommend purchasing travel insurance that covers cancellation.

Where possible we will always try to find alternative options for future events.

7. Changes or Cancellation by Padel Roaming

Occasionally we may need to change or cancel a trip due to circumstances such as:

  • insufficient participants;
  • extreme weather;
  • venue closures;
  • safety concerns; or
  • circumstances beyond our control.

If we make a major change, we will:

  • offer an alternative trip; or
  • offer a refund of payments made.

Padel Roaming is not responsible for additional expenses such as flights or travel bookings you make independently.

8. Travel Insurance

Participants must have adequate travel insurance that covers:

  • trip cancellation;
  • medical expenses;
  • sporting activities such as padel or similar sports; and
  • personal belongings.

Proof of insurance may be requested before travel.

9. Fitness & Participation

Padel Roaming trips involve physical activity.

Participants confirm that:

  • they are fit to participate in padel or similar sporting activities;
  • they take part at their own risk; and
  • they will inform organisers of any relevant medical conditions.

Participants must follow all instructions given by coaches or event hosts.

10. Accommodation

Accommodation arrangements vary by trip.

Unless otherwise stated:

  • pricing is based on two people sharing;
  • single occupancy may incur a supplement; and
  • room sharing is only available with someone you book with.

Special accommodation requests cannot be guaranteed but will be passed on to the hotel or provider.

11. Travel Arrangements

Padel Roaming typically does not include flights in its packages.

Participants are responsible for arranging their own:

  • flights;
  • visas;
  • travel documents; and
  • airport transfers unless included.

We recommend booking flights only after receiving final trip confirmation.

12. Behaviour & Conduct

Participants must behave respectfully towards:

  • other guests;
  • coaches and hosts;
  • hotel staff; and
  • local communities.

Padel Roaming reserves the right to remove any participant whose behaviour:

  • endangers others;
  • disrupts the group; or
  • violates local laws.

No refund will be given in such cases.

13. Liability

Padel Roaming acts as a trip organiser and may work with third-party providers including:

  • hotels;
  • sports venues;
  • coaches; and
  • transport providers.

We are not liable for:

  • loss or damage to personal property;
  • injuries resulting from participation in sports activities; or
  • failures by third-party providers beyond our control.

Our liability is limited to the total amount paid for the booking, except where prohibited by law.

14. Force Majeure

Padel Roaming shall not be liable for events beyond reasonable control including:

  • natural disasters;
  • extreme weather;
  • pandemics;
  • government restrictions;
  • strikes; or
  • political unrest.

In such cases we may modify or cancel the trip.

15. Media & Photography

During trips we may take photographs or videos for promotional purposes.

By attending a Padel Roaming event you consent to the use of such media unless you notify us otherwise in writing.

16. Data Protection

We process personal data in accordance with our Privacy Policy.

Your data may be shared with travel partners where necessary to deliver the trip.

17. Complaints

If you experience a problem during the trip you must notify:

  • the trip host; or
  • a Padel Roaming representative,

immediately so we can attempt to resolve it.

If the issue cannot be resolved during the trip, please contact us within 14 days of returning home.

18. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes shall be subject to the jurisdiction of the courts of England and Wales.
